WHY COMPANIES CHOOSE DFW
01
A stage manager, not just a planner
Every conference gets a dedicated on-site lead running the minute-by-minute, so transitions between speakers and tracks don’t depend on luck.
02
We’ve filled the hard rooms before
Getting C-suite attendees to actually show up is harder than booking a venue. We’ve built the speaker rosters and incentives that get senior people in seats.
03
14 years, 100+ conferences
From bilateral government summits to multi-track industry forums, we’ve already run the format you’re planning — and know where it usually breaks.
WHAT’S INCLUDED
Attracting the C-suite to your event is hard. Keeping them in the room until the end is harder. This is how we manage both.
01
Venue & Format Sourcing
Shortlisting venues that fit your headcount, AV needs and budget, negotiated and booked on your behalf.
02
Speaker & Agenda Management
Shortlisting and briefing keynotes and panellists, then building an agenda that respects attendees’ time.
03
Delegate Experience
Registration, check-in flow and the full attendee journey, so guests feel hosted rather than processed.
04
AV & Staging Production
Sound, lighting, screens and stage design built around your programme — not a generic backdrop.
05
Catering & Logistics Coordination
F&B, signage and back-of-house logistics coordinated with the venue, including dietary requirements.
06
On-Site Execution & Wrap Report
A dedicated stage manager running the day, followed by a report covering turnout, engagement and feedback.

QUESTIONS
Venue sourcing, delegate registration, speaker and agenda management, AV and staging production, branding, catering coordination and full on-site execution — all under one project lead.
For 500+ attendees, aim for 9–12 months ahead to lock in venue and keynote speakers. For 200+ attendees, 6 months works well. Smaller forums of 100 or fewer can often be organised within 3 months.
Yes. We shortlist and coordinate keynote speakers and panellists based on your theme and audience, and can also help position your own executives as presenters.
Yes — in-person, hybrid and fully virtual formats, including livestream production, virtual delegate platforms and remote speaker coordination.
The most common failure point is the agenda slipping — a keynote running long, AV not transitioning cleanly, breakout sessions starting late. We build a minute-by-minute run sheet and assign a dedicated stage manager to keep the programme on time.
